- All fees must be paid in full within 10 working days of booking and within the advertised dates. All money transfer charges are to be met by the senders.
- All services are offered on an as-is basis.
- Cancellation charges:
- Up to 31 December2014: 25% administration charge (minimum £125 plus VAT)
- 01 January – 10 February 2015: 40% administration charge (minimum £175 plus VAT).
- We regret that we are unable to refund after 10 February 2015.
- No refund will be given for services that have been provided already, such as a weblink or an advertisement on the event website.
- Privacy: Personal information (name, postal address, email, telephone and fax) provided by event participants will be held in our database and may be used by LibPubMedia to advertise its products. Occasionally, this information may also be shared with interested third parties for marketing. If you do not wish to disclose your details to third parties please provide a written statement at the time of registration/booking.
- Photography: We will carry out still and video filming during event, including those of the sponsor’s representative(s), exhibition stands, advertising materials and logo(s) and will use photos and videos on our websites and/or audio/video channels for promotional purposes. By agreeing to attend this event you grant us, the Photographer and our distributors, the right and permission to take, hold, use, edit, digitise, publish, add to, delete from and adapt the photographs, video images and audio recordings in any printed or electronic media, including the Internet, throughout the world for any lawful purpose, including advertising and promotional purposes, in perpetuity and without compensation and attribution. If you do not wish your images or recordings to be used in this manner, please inform us in writing at least four weeks before the event.
- In the unlikely event of the change of the event dates for any reasons beyond our control, should a sponsor/exhibitor wish to withdraw from the event, the maximum liability to us shall be limited to 75% of the fees received by us at the time of booking, with no additional liability whatsoever to the event organisers and hosts, LibPubMedia or any individuals affiliated with the event or LibPubMedia in any capacity. We may deduct any additional bank transfer fees associated with the refund.
- In the unlikely event of cancellation of the event (also see Clause 12 below), the maximum liability shall be limited to full refund of the fees received by us at the time of booking, with no additional liability whatsoever to the event organisers and hosts, LibPubMedia or any individuals affiliated with the event or LibPubMedia in any capacity. We may also deduct any additional bank transfer fees associated with the refund.
- If the cancellation of the event is caused by a natural disaster, a disease epidemic or pandemic, war or act of terrorism, the maximum liability to us shall be limited to 75% of the fees received by us at the time of booking, with no additional liability whatsoever to the event organisers and hosts, LibPubMedia or any individuals affiliated with the event or LibPubMedia in any capacity. We may deduct any additional bank transfer fees associated with the refund.
- Should there be a change in the event venue for any reason, all participants will be notified well in advance. However, there shall be no liability whatsoever to the event organisers and hosts, LibPubMedia or any individuals affiliated with the event or LibPubMedia in any capacity.
- If in the unlikely event, for reasons beyond our control, that we are unable to provide a listed sponsorship or exhibition deal, service, facility or arrangement, the maximum liability shall be limited to proportional refund of the package sponsorship or exhibition fee received by us at the time of booking, with no additional liability whatsoever to the event organisers and hosts, LibPubMedia or any individuals affiliated with the event or LibPubMedia in any capacity. We may deduct any additional bank transfer fees associated with the refund.
- Exhibitors, sponsors and advertisers are responsible for setting up their exhibitions and for providing us the agreed advertisement information, and paying government taxes and duties in relation to import/export of their goods.
- Exhibitors, sponsors and advertisers are responsible for the correctness of information they provide us.
- Event participants, including exhibitors and representatives of sponsors, are responsible for taking appropriate insurance cover in connection with their attendance of the event, including medical insurance. The event organisers and hosts, LibPubMedia or any individuals associated with the event or LibPubMedia in any capacity shall not be liable for any kind of loss or damage to personal property, delegates or exhibitors.
- Event participants shall be responsible for compensating any loss should they cause damage to the host’s property or the venue.
- The event organisers and hosts, LibPubMedia or any individuals associated with the event or LibPubMedia make no representation or warranty of gain of business or profits as a result of use of services or information provided in connection with the event and shall not be liable for any direct or indirect damages, loss of business, employment, profits or anticipated savings resulting from the use of the services or information provided in connection with the event, in any country or court of law.
- The event organisers and hosts, LibPubMedia or any individuals associated with the event or LibPubMedia shall not be liable, in any country or court of law, for infringement of third party rights by the event delegate, exhibitor or sponsor.
- The event website and that of LibPubMedia contains links to a number of other websites, provided for the convenience of the users. The contents of these websites are maintained by their owners, for which we take no responsibility, neither providing a link on our website means that we necessarily agree to their contents, nor we are responsible for contents of any website linking to this website.
- We have the right to accept or reject a booking application without giving reasons and our decision shall be final.
- We have the right to accept or reject a sponsorship deal or advertisement without giving reasons and our decision shall be final. We also reserve the right to reject a previously accepted application without giving reasons and our decision shall be final.
